Upcoming Changes to Media Hub Permissions – Effective February 13

New album-level permissions and access request management—here’s what’s changing and what you may need to do.

What do I need to do before February 13?

You get early access to user group management in the new experience. Before the changes go live, you can:

  • Delete user groups you no longer need.

  • Remove users from specific groups.

What changes in the classic experience?

User group assignments are no longer available. All permissions are now managed through album-level access in the new experience.

What still works in classic?

  • You can still add or remove assets from albums.

  • Album and asset changes continue to sync between classic and new experiences.

  • Users and user groups still sync across both versions.

How is my user group setup handled in the new experience?

  • All user groups and their assigned users remain in place. No action needed.

  • Your previous download setting becomes the default for all albums:

    • If “request to download” is enabled: Albums are set to Can view – users must request download access.

    • If “request to download” is disabled: Albums are set to Can view and download – users can download without approval.

You can change these permissions per album anytime.

How are user group assignments applied to albums during migration?

Scenario 1: All assets in an album are assigned to the same user group(s)

The album stays intact, and the user group(s) are applied directly at the album level. No restructuring is needed.

Example:

  • Original album: “Press Kit” (all assets assigned to the Press user group)

  • Migrated album: Press Kit – Assigned to the Press group, with all assets retained

Scenario 2: Album contains assets assigned to different user groups (no share link)

The album is split into multiple albums—one for each user group. This ensures that all assets follow the same access rules.

Example:

  • Original album: “Events” (includes unassigned assets, Marketing assets, and Press assets)

  • Migrated albums:

    • Events – Contains unassigned assets

    • Events – Marketing – Contains assets assigned to the Marketing group

    • Events – Press – Contains assets assigned to the Press group

All new albums remain in the same folder as the original.

Scenario 3: Album contains assets assigned to different user groups AND has a share link.

To preserve the share link, the original album is renamed and kept intact—but it’s made accessible only via the link, not through Media Hub. New albums are created for each user group to maintain structured access.

Example:

  • Original album: “Events” (mixed group assignments + share link)

  • Migrated albums:

    • Events (Share link) – Contains all original assets, but is only accessible via the existing share link

      • Share settings show: “Specific user groups” with no groups assigned

      • This means no Media Hub users can see it—only people with the link

    • Events – Unassigned assets

    • Events – Marketing – Marketing group assets

    • Events – Press – Press group assets

❗Heads up

  • In the new experience, all assets in a Media Hub album must share the same access permissions. This structure ensures that user access remains accurate while keeping external share links functional.

Going forward: What changes for managing access?

When you upload or move assets into an album, they automatically inherit that album’s permissions. If you need different access levels for specific assets, place them in separate albums.

Can I move assets between albums created during migration?

Yes, you can move assets freely. Just note that the asset inherits the permissions of its new album.
