How do I manually mark an asset as rights-approved?

Admins can manually approve assets to reflect licensing agreements made outside of CrowdRiff—such as direct partnerships or written permission. This helps you manage rights more accurately and keeps your asset library up to date.

When should I manually approve an asset?

Use this option if:

  • You have blanket rights or permission via a partnership.

  • You received approval outside of CrowdRiff (e.g., via email or DM).

  • The asset does not already have rights or a pending approval request.

💡Pro Tip

  • Add business or creator accounts to your followed accounts in CrowdRiff. This ensures usernames are automatically included when new assets are ingested from those accounts, making it easier to find and mark them as rights approved.

How do I mark an asset as approved?

  1. Open the asset’s details page.

  2. Click the three-dot menu.

  3. Select Mark as approved.

  4. Add a permission note (e.g., “Approved via partnership with XYZ”).

  5. Click Mark as Approved.

You’ll see a green banner indicating it’s manually approved.

What happens once an asset is manually mark as approved?

  • It shows a “Ready to use” status.

  • It becomes available for downloads, Galleries, and Maps.

  • Under the Licensing tab, you’ll see:

    • The approval note

    • Date of approval

    • Who approved it

Can I undo a manual approval?

Yes, To remove approval:

  1. Click the three-dot menu on the asset.

  2. Select Undo approval.

  3. Confirm by clicking Mark as Unapproved.

How do I manually mark an asset as approved if I already requested rights?

At the moment, if an asset has a pending rights request, it must be approved manually in the classic experience. We’re actively working on bringing this functionality to the new experience.
