How do I manually mark an asset as rights-approved?

Mark assets as rights-approved when you receive permission outside CrowdRiff, one at a time or in bulk, so you can use them in Galleries, Maps, and downloads right away.

When should I manually approve an asset?

Manually approving an asset is the right choice when rights were granted outside of a formal request workflow. Use this option if:

  • You have blanket rights or permission through a partnership.

  • You received approval outside of CrowdRiff (for example, by email or DM).

  • The asset doesn’t already have rights or a pending approval request.

💡Pro Tip

  • Add business or creator accounts to your followed accounts in CrowdRiff. Usernames are then included automatically when new assets are ingested from those accounts, making it easier to find assets and mark them as rights-approved.

How do I mark an asset as approved?

  1. Open the asset’s details page.

  2. Click the three-dot menu.

  3. Select Mark as approved.

  4. Add a permission note (for example, “Approved via partnership with XYZ”).

  5. Click Mark as Approved.

How do I mark multiple assets as rights-approved at once?

If you’ve received rights for multiple assets from a partner or content creator outside of the CrowdRiff platform, you can mark them all as rights-approved in one step. This saves you from opening and approving each asset individually, which is especially useful after a partnership agreement or a batch of creator permissions.

  1. Select the assets without rights that you want to approve.

  2. Click ... in the bulk action bar.

  3. Select Mark as rights-approved.

  4. Enter a permission note. A note is required.

The permission note is added to every asset in the batch and appears in the Licensing tab, so you can always track how you received rights.

If a selected asset is part of a carousel, all assets in that carousel are rights-approved.

How do I manually mark an asset as approved if I already requested rights?

If an asset has an existing rights request, find it in the Usage Rights section.

  1. Go to UGC in the left navigation menu.

  2. Click Usage Rights.

  3. Find the asset. Use the Most recently requested filter to narrow the results.

  4. Click the asset to open it.

  5. Click the three-dot menu.

  6. Select Mark as approved.

  7. Add a permission note.

  8. Click Mark as Approved.

What happens once an asset is manually mark as approved?

Once approved, the asset is immediately ready to use. You’ll see these changes:

  • The asset shows a Ready to use status.

  • The asset becomes available for downloads, Galleries, and Maps.

In the Licensing tab, you’ll see:

  • The permission note

  • The date of approval

  • Who approved it

Can I undo a manual approval?

Yes. To remove an approval:

  1. Click the three-dot menu on the asset.

  2. Select Undo approval.

  3. Click Mark as Unapproved to confirm.

How do I auto-approve blanket rights for followed accounts?

Available on the Engagement Pro and Enterprise plans.

If you work with partners or creators who have given you blanket permission to use their content, an administrator can turn on automatic rights approval for any Instagram account you follow. Any new content that account posts is then marked as rights-approved as soon as it appears in your library, so you can skip the manual approval step.
