Key Takeaways
DAM is CrowdRiff's digital asset management tool. It's included with every CrowdRiff account, no extra purchase needed. It connects directly to Media Hub, Creators, and Content Planner, so your assets flow across your whole workflow.
If your library currently lives elsewhere (Google Drive, Dropbox, SharePoint, hard drives, spreadsheets), we'll migrate everything for free.
Migration preserves your existing organization and tags, and adds AI tagging and keywording on top. One attendee summed it up: "the migration was SOOOOOOOOOO easy, and fast."
DAM at Chattanooga Tourism Co: Sarah Joyner
Folders, kept loose: Simple, place-based folders (accommodations, food and drink, attractions). Sarah calls hers "a hallway closet," functional, not tightly policed.
Keywords over folders: The real discipline is keywords, not folder structure. Every uploader tags who, what, when, where, and season, so anyone can find the asset later.
Discovery: Search by AI mode for a vibe or theme, then filter by content type and quality. Personal "favorites" folders help bookmark strong assets for later use.
Location tagging: Links each asset to Google Places data, setting it up for future enrichment (hours, links, other attributes) and features like maps.
Building upload habits: Most uploads come from staff phones in the moment. A Collector QR code shared as an all-staff meeting icebreaker got the whole team uploading, photo credit on social kept it going.
Cheat sheet: A simple one-pager reminding uploaders to tag season, place, event name, and month keeps everyone consistent. Here's a cheat sheet [add link] you can use based on what visit Chattanooga implemented.
Always be sourcing: Create a Collector for the team to take on partner meetings and staff outings, so uploading is easy any time they're out in the destination.
DAM at Tourism Kamloops: Carmen Herman
Structure by department: Folders organized by department (marketing, destination development, travel trade), plus place-based folders for neighborhoods, activities, and parks/beaches.
Separate B2B folder: Destination development keeps a distinct, less polished folder for developer-facing content (parking lots, older buildings), separate from marketing's assets.
Centralized uploading, evolving: Uploads currently run through one team member. Kamloops is working to open that up more broadly, inspired by Chattanooga's cheat sheet.
Partner sharing: Assets shared with regional and provincial partners, the City of Kamloops, and small businesses without their own marketing budgets. Links expire in 15-30 days to keep partners coming back for fresh content.
Search to onboard fast: AI and location search helped Carmen get oriented quickly in a new destination and learn photographer and videographer styles for future shoot planning.
What's New and What's Coming in the DAM
Bigger uploads: You can now upload up to 500 files at once, with each file up to 10GB. The new upload experience also pulls in keywords you've already added in Lightroom, saving you a manual step.
Partner coverage view (in development): See asset count and freshness for each partner or point of interest (museum, hotel, park, festival, or any key business). Sortable, so you can spot which partners are light on coverage or overdue for a refresh shoot. Built on the same partner data that powers Content Planner.
Archiving and rights management: We're actively building archiving features, including hiding a folder from search without deleting its assets, and tracking asset license and expiry periods.
Multi-language support: Multi-language galleries and CTAs are coming soon.
MCP exploration: We're gauging interest in an MCP connector, so you could access your CrowdRiff data through AI assistants like ChatGPT or Claude. Let y
Live Q&A Highlights
How does CrowdRiff determine quality? Is it resolution-based, closeness to keywords, or something else?
Trained on what destinations actually selected and used from UGC feeds.
Looks at contrast, color, and vibrancy, and deprioritizes text-heavy images.
Separate from the relevance ranking your AI search uses.
When uploading assets, is there an option for batch editing tags, location, etc. on several photos at once?
You can tag and set locations for your entire upload batch at once.
To edit a subset differently, select those assets individually after upload.
Batch size is 500 files
How does one get your team to upload content? Struggling over here.
A common struggle. Chattanooga's fix: a Collector QR code shown as an icebreaker at an all-staff meeting.
It landed well with the group, several attendees are trying it themselves.
Tip: keep your Collector's QR code posted somewhere visible, like a bulletin board, so partners and stakeholders can use it too.
To build your own: copy your Collector's shareable link into any QR code generator (Canva's works well).
Curious if any folks have a process for managing archived assets, images you want to keep for select purposes but don't want used widely?
A popular question. There's no native archive feature yet, but it's already on our roadmap
In the meantime: tag assets to archive with a keyword like "Archive" and exclude that keyword from your searches.
Sharing DAM access with partners
Folder-level links for individual partners.
Full DAM access for a state tourism office.
Access for chambers, PR teams, and creative partners.
No single right setup, worth comparing notes with peers.
I inherited a DAM with thousands of unorganized photos. What's the best way to sort through these big folders?
Reach out and we'll help build a sorting strategy, rather than tackling it folder by folder.
Tip from the chat: sort by quality score first to cull quickly.
Are you guys able to help with file name changes?
Yes, reach out to CrowdRiff support with your specific use case and they'll advise.
By migration, do you mean moving or copying?
Our team walks you through this directly, including whether your source files get moved, copied, or left in place.
Will we be able to track when we post about partners, so we can be as fair as possible and identify any unconscious biases?
Yes, Content Planner links your content plans and published posts back to partner tags.
You can see which partners get covered often and which are under-covered.
Does anyone have a good example of photography guidelines? We updated ours but need more meat in the photo section.
Destination BC's public, industry-facing guidelines are a strong example.
