Key Takeaways
Rights Management Improvements
Auto-approve rights from followed accounts: If a partner or creator gives blanket permission to use their content, set up auto-approval for their account under Settings > Followed Accounts. Add permission notes or attach a contract, and it follows the asset. Everything new that account posts pulls into your library automatically, rights cleared.
Attachments on individual assets: Attach a signed release, contract, or even a screenshot of a DM approval directly to any asset, so the proof travels with it.
Expiring rights view: A new Expiring Assets section under All Ready to Use flags anything expiring within 30 days (yellow clock icon) and anything already expired (red exclamation icon), in table or grid view. You can set your own warning window in settings. These status indicators follow the asset everywhere it's used in the platform, not just in that one view.
Gallery Updates
Add assets, rebuilt: The add-assets flow in galleries now works the same way it does everywhere else in the platform. Browse your full DAM, upload from your computer, or pull in automatically from Collectors and followed accounts, all from one modal.
Randomize display order: Turn this on and the assets in a gallery reshuffle every time it loads, so repeat visitors see a fresh mix. Leave it off to keep a fixed order.
Bulk Classic Gallery upgrades: Review and upgrade (or archive) multiple Classic Galleries at once from a single table instead of one by one. Archiving hides a gallery from your list and makes it read only; live embeds keep working, and you can upgrade anytime. Upgrading itself doesn't change the embed code, so there's nothing to update on your site.
Smaller Fixes Worth Knowing About
Sticky search and filters: In My Visuals, the search bar and filters now follow you as you scroll, so you don't have to jump back to the top to change what you're looking for. A new back-to-top button covers the moments you do want to jump up (there's a keyboard shortcut too, check the changelog).
Location field on Collectors: An optional field that asks contributors where a photo was taken, logged automatically on upload. You can turn it on or off per Collector.
Media Hub access expiry: Set an end date when you invite someone to a Media Hub, so their access closes on its own. Useful for journalists, partners, or anyone you don't want to have standing access.
You can see all the latest product updates under What's New, at the bottom of the sidebar.
Content Planner: Partner Reporting
Built to help answer the "what have you done for us lately" question from partners. Instead of digging through Instagram, your blog, and Analytics to get an answer, with Partner Reporting you pull the report in a single view.
Metrics across social and web: See posts, impressions, engagement, and reach overall or by individual partner, filtered by timeframe, channel, priority, or category (like arts and culture) or area.
Automatic and live: Metrics pull in on their own once it's set up. You can also build a manual report.
Manage Partners table: A simple place to edit partner metadata like category and priority.
Per-partner detail: Click into a partner to see every post made for them, plus pages where they're featured and DAM assets tied to their account.
Shareable live link: Hit share, copy the link, and send it straight to the partner. They can adjust the timeframe and channel themselves, and it always reflects current numbers.
Content Planner: Publishing & Scheduling (Private Pilot)
Currently in a private pilot by request only: publish and schedule directly to Facebook and Instagram from inside Content Planner, no second tool needed.
One click to schedule: Hit schedule on a finished content piece and you get a caption and post preview, the ability to rearrange assets, a built-in crop tool, and a choice to post now or pick a date and time.
One piece, multiple channels: Schedule different posts from the same content piece across different channels (for example Instagram and TikTok) at different times.

Itineraries Builder
Two ways to build: Start from scratch, or drop in a blog post URL and let it generate the itinerary for you: it pulls locations from Google, writes descriptions, and can sync your branding from your website URL.
Fully customizable: Move pins, pull in visuals from your DAM, and publish as an embed or share as a direct link.
Where the images come from: The same place as Maps, your DAM, not Google Places, so rights stay consistent. You can also add an image directly to a pin.
Availability: Included in Engagement Pro packages and up. If you don't see it under Build and want it, let your CrowdRiff contact know.
Guest speaker: Luke Alexopoulos, Visit Eau Claire
Luke Alexopoulos, Senior PR Manager at Visit Eau Claire, handles media relations, press trips, and creator partnerships for the destination. He's been part of the Itineraries beta and walked through a real one he built.
The trip: An influencer weekend built around the Eau Claire Fall Festival, hosting local content creator Andrea Schwab with the help of some extra grant funding.
The build: A full Friday-to-Sunday itinerary covering meals, coffee shops, a local brewery, shopping, and the festival itself, pulling photos straight from CrowdRiff's DAM.
What stood out to him: The map view, which shows the order of stops and where everything sits at a glance, and how naturally the DAM integrates compared to the separate itinerary tool Eau Claire used before.
What's Coming Next
Rights request improvements: Generate rights requests in your own brand voice and tone, using writing samples you provide, plus the ability to add your own legal requirements into the request workflow.
Bilingual support: French and English support expanding past galleries to maps and other traveler-facing surfaces. The team's aiming to release this within about a month.
Custom roles and permissions: More control over how you define roles and what each one can do.
Destination Creator Network (in development): A collaborative system built with a handful of state and provincial partners. A state puts out a call for content (say, dog-friendly travel content), a local DMO opts in and helps shape the brief, and CrowdRiff sends it to a creator to fulfill. Everyone involved gets access to the content that comes out of it. If you're a state, province, or large region and want to learn more, reach out to the team.
Activity feed (in development): A day-by-day feed of everything coming into your DAM: uploads, rights approvals, and Collector submissions in one place, with the ability to click into assets and bulk-action them right from the feed. Emoji reactions on feed items are coming too.
Live Q&A Highlights
Rights & Expiry
How long until assets expire?
You control it. Set an expiry date per asset, and choose your own warning window (30, 60, or 90 days) for when the yellow and red indicators show up. Not every asset has rights that expire, only the ones tied to a time-limited agreement.
Galleries
When you upgrade a gallery, do you have to recopy the embed code?
No. The embed code stays the same when you upgrade from Classic to the new experience, so there's nothing to change on your site.
Content Planner
Do you know when scheduling will be available for everyone?
Soon. It's part of Content Planner, so if you're not on it yet and want to see what it looks like, just ask. Also: if you'd like a sample partner report built for your destination, drop a note and the team will put one together with you.
Can this be used to schedule Reels?
Yes.
Itineraries
If a partner doesn't have CrowdRiff, can they add notes into an itinerary directly?
Not right now. Itineraries are edited in the CrowdRiff backend, so a partner would need platform access to edit it themselves. There are workflows to get around this, like sending it out for partner review and editing based on their notes, worth talking through with the team if you need it.
Where do the images for places in an itinerary come from, your library or Google Places?
Your DAM, the same as in Maps, so rights stay consistent. You can also add an image directly to a pin.
Do itineraries track partner mentions?
Not yet. There isn't itinerary analytics right now, but it's something the team can talk through with you.
Search & Library Cleanup
Where's the best place to send feature requests and small fixes, like case-sensitive keywords creating duplicate search results, or certain symbols interfering with search?
The Give Feedback option at the bottom of the platform's nav menu, or [email protected] anytime. Specific feedback like this is exactly what the team wants.
Is there a timeline for removing old keywords and authors so misspellings stop showing up in search?
It's on the team's radar as part of a broader search cleanup; follow up with the team directly for a timeline.
Bilingual Support
What's the ETA on bilingual support?
The team's aiming to release it within about a month.
Creators Program
How does a creator get onto CrowdRiff's general creators list?
It's a mix of both directions. The Creators Operations team seeks out local storytellers who fit a destination's style and vibe, and creators reach out directly too. Everyone goes through an evaluation process either way.
Will the recording be sent out?
Yes, automatically to everyone who registered, right after the call ends. Check your junk folder if you don't see it right away.
