How do I create and edit a new gallery?
Start with a template and add your content in minutes.
Go to Build > Galleries.
Click Create (top right).
Enter a Gallery name.
Select a Template.
Click Create.
Your new gallery opens in the editor. To start building it, click Select assets to choose content, or Auto add to pull in assets automatically.
💡 Pro Tip: Single asset embeds are now called Single Asset Galleries. You manage them alongside other gallery types on the Galleries page. Like all gallery types, they support customizable CTAs, brand styling, and analytics tracking. Use the Denver template to get started.
How do I add assets to a gallery?
Add assets manually, upload your own, or connect a live source to keep your gallery fresh without extra work.
In a new gallery, click Select assets in the centre of the editor. In a gallery that already has assets, click Add assets in the bottom right of the screen.
Select a tab: Browse, Upload, or Automatic.
Each tab works differently:
Browse: Find folders and ready-to-use assets from My Visuals. Search in AI or Standard mode, the same search used across the rest of the platform.
Upload: Start an upload directly from the editor and add metadata like locations, authors, or keywords as you go. CrowdRiff adds uploaded assets to both the gallery and My Visuals. This also works the other way: when you upload from My Visuals, you can select which galleries to add your assets to.
Automatic: Connect a live source to keep your gallery updated without manual effort.
To use Automatic, connect one of these sources:
Your own Social Account
A Collector feed
Once connected, new assets ingest into the gallery automatically each time a post is published. This option works best for ongoing campaigns or frequently refreshed content.

How do I manage assets in my gallery, one at a time or in bulk?
Once your assets are in a gallery, you can fine-tune them right there, without finding them again in your library. Add a CTA to a whole set of assets, split one gallery into several, or reorder a group of assets in a single drag. It’s a faster way to keep every gallery focused and on-message.
To get started:
Open a gallery.
Click Edit assets.
Select one or more assets.
Choose an action from the action bar at the bottom of the page. To act on a single asset, use its “...” menu instead.
Here’s what you can do:
Add a CTA to many assets at once: Apply one call-to-action link and label to every selected asset. For example, drive traffic to a partner restaurant’s website from every asset that features it.
Move or remove assets: Send assets to a different gallery or take them out of this one. For example, split one outdoor gallery into a gallery for each season.
Reorder in bulk: Drag a selection of assets into a new spot together, instead of moving them one at a time.
Add to folders, albums, or other galleries: Put assets where you need them.
Share, download, or edit details: Work with your assets the same way you do in your library.
💡 Pro Tip:
Use keyboard shortcuts: Move through and act on assets without a mouse.
Tab moves into the assets, landing on one asset.
Arrow keys move between assets. Up and Down move by a row, and Home and End jump to the first and last asset.
If the details panel is open, it follows whichever asset is focused.
Space selects an asset. Shift+Space selects a range.
Enter picks up an asset (or your selection), arrow keys move it, Enter drops it, and Escape cancels.
A or Shift+F10 moves to an asset’s checkbox, Pin, and “...” menu. Left and Right move between them, and Escape returns to the asset.
To bulk select assets: Hold Shift and click another asset to select everything in between.
How do I add a CTA to many assets at once?
Save time by applying the same call-to-action to every asset that points to the same destination.

How do I move assets to another gallery?
Moving assets lets you reorganize your content without re-adding anything from your library.
Open a gallery and click Edit assets.
Select the assets you want to move.
Choose the move action from the action bar, then select the gallery.
❗Heads up:
CTAs don’t move with the asset, so you can add new CTAs that fit the gallery you moved the assets to.
Moved assets aren’t pinned in their new gallery.
Galleries upgraded from Classic may include assets that don’t have usage rights approved. You can’t move these to another gallery. If your selection includes any, CrowdRiff moves the rest and shows you which assets were left out.
How do I reorder assets?
Asset order controls how content appears to visitors on your website, so put your best content first.
Open a gallery and click Edit assets.
Drag and drop an asset to a new position.
Click Save.
To move several assets together, select them and drag one of them. Your whole selection moves, the assets land side by side, and each one is pinned in its new position.
❗Heads up: You can add an unlimited number of assets to galleries with horizontal grid templates. However, the number of rows, spacing configuration, and Load more button limit how many assets website visitors see. When you add new assets without rearranging the order, older assets may be pushed down and out of the primary gallery view.
How do I remove an asset from a gallery?
Remove assets that don’t fit your layout or message.
Open a gallery and click Edit assets.
Select one or more assets.
Choose the Remove icon from the action bar, or from the “...” menu on a single asset.
Removing an asset from a gallery does not delete it from your asset library. It remains available for future use.
What saves immediately, and what saves when I click Save?
Some changes apply right away, and others wait until you save the gallery.

❗Heads up: Reloading or closing the tab clears anything unsaved, along with your undo history. Anything already saved stays.
How do I change the gallery appearance?
Switch templates anytime to refresh your gallery's look. Changing the template doesn't affect your saved assets.
Go to the Appearance tab.
Select a new template by clicking Change.
Click Save.
What layout settings can I adjust?
Fine-tune how assets display across devices with these controls:
Asset spacing
Number of rows (Desktop and Mobile)
Asset size (S, M, L, or a custom pixel value)
Asset corner style
Theme selection
Load More button
How do I randomize the order of assets in a gallery?
Shuffle the assets a gallery displays each time it loads to add variety to what visitors see.
Go to Settings > Display order.
Enable Randomize assets.
When randomization is on:
Embedded galleries display assets in a random order each time the gallery loads.
Pinned assets keep their position.
CrowdRiff renders and paginates the entire gallery, so there's no cap on the number of assets displayed.
How does this differ from Smart Galleries in Classic?
Sort order is fully randomized, rather than based on best-performing assets.
The 100-asset cap is removed.
The setting carries over when you upgrade. Smart Galleries have Randomize assets enabled.
How do I sync gallery colours with my Brand colour?
Sync your gallery colours with your Brand colour to keep every gallery on-brand without manual updates. Your gallery colour settings (CTA colour, Load more button colour, and asset hyperlink colour) can match the Brand colour you set in Settings > Branding.
Go to the Appearance tab..
Click Reset gallery template to default at the bottom.
Click Save.
❗ Heads up:
Newly created galleries stay in sync with your Brand colour by default.
Upgraded Classic galleries carry over based on the preferences set in Classic.
How does gallery language work?
Every gallery has a language. The language determines which language your CTAs and Load more text display in.
Go to global gallery settings (Settings > Embeds) to select which languages are available for your galleries. These choices control what appears in the language dropdown in the CTA editor.
For existing galleries in the new experience, CrowdRiff automatically detected and assigned a language.
If the assigned language is incorrect, contact support with the gallery name and the language you want, and we’ll update it.
How does Load more text display?
Load more has built-in translations in the 12 languages CrowdRiff supports, so it always displays regardless of language configuration.
If you set custom Load more text, that text displays regardless of language.
If you haven't set custom text, Load more displays CrowdRiff's built-in translation for the detected or specified language.
How do video preview settings work?
Control video behaviour from the Settings tab:
Only one video per gallery row auto-previews.
If you disable video preview, videos only play when opened in Full View.
What full-screen settings can I control?
Customize what visitors see when they expand an asset to full screen. In Settings, you can:
Hide or show username
Hide or show description
Hide or show location
Enable or disable hyperlinks
Customize Calls-to-Action (CTAs)
What is Custom CSS?
Custom CSS lets you apply advanced styling to a specific gallery, so you can match it to your website's design.
CSS you enter here applies only to the gallery you're editing.
It doesn't affect other galleries or global styles.
How do I embed a gallery?
Add your gallery to your website with a quick copy and paste.
Copy the embed code in one of two ways:
From the gallery editor: Click Get Embed Code button.
From the Galleries list page: Click the dropdown next to the gallery, then select Copy Embed Code.
Paste the embed code into your website's HTML where you want the gallery to appear.
How do I copy a Gallery ID?
Copy the Gallery ID to use with CRM integrations or the CrowdRiff API. The Copy Gallery ID option has three choices:
Gallery ID: The standard ID.
Gallery ID with cr__ prefix: For CRMs that require the full ID.
Gallery ID for API: For use with CrowdRiff APIs.
