How do I update my personal account details?
Keeping your profile current helps teammates know who they’re working with. Your personal details are tied to your individual login and are separate from your organization’s brand settings.
Go to Settings > My Account.
Update your name and job title.
How do I get email notifications for asset activity?
Stay informed about what’s happening in your CrowdRiff account without logging in to check. You can get a daily summary of account activity, real-time alerts for individual Collectors, or both.
Choose which of the following to include in your digest:
New assets uploaded to your Collectors
Usage rights approvals for UGC assets
Assets approaching their expiry date or that have expired (included once weekly)
❗ Heads up: Notifications are turned on by default for Admins, and all other roles can opt in.
How do I manage team members and permissions?
Control who can access the platform so the right people have the right level of access.
Go to Settings > Team to see all users with access to the platform.
See Manage Users in the Platform for step-by-step instructions.
How do I configure branding for my organization?
Your branding keeps every embed and public portal looking like your brand, without extra design work. Go to Settings > Branding to define how your organization appears across CrowdRiff’s visual embeds and public portals.
Appearance
Brand name: Enter the name as you'd like it to appear to others.
Brand colour: Set the default colour for buttons, links, and accents. You can override it on each embed or portal.
Logos
Asset | Where it appears | Accepted formats |
Avatar | CrowdRiff platform and external share links | PNG, JPG |
Wordmark | Default brand image on visual embeds and public portals | PNG, JPG |
You can override both logos at the individual embed or portal level.
How do I manage language settings for my visitors?
You can now deliver a fully bilingual English and French experience to your visitors and partners across every external-facing CrowdRiff feature: Galleries, Maps, Itineraries, single asset embeds, share links, Collectors, Media Hub, and Connect Portal. This helps you reach more of your audience in the language they prefer, without building and maintaining separate versions of your content.
To enable or disable French, go to Settings > Accounts > Languages. The setting applies to all visitor-facing features at once. Only users with the Admin role can see this page.
Other non-English languages, such as German or Spanish, remain available for Galleries only.
❗ Heads up:
The Gallery Language setting has been replaced by the new Languages page. French is now managed through a single setting that applies to all visitor-facing features at once. If your account already had French enabled for Galleries, French has been automatically enabled across all your other features.
The CrowdRiff platform itself is not part of this change and stays in English.
What gets translated automatically?
All CrowdRiff UI that your visitors and partners see, including buttons, labels, menus, and system messages, is translated automatically. You don't need to do anything to make your visitors' experience bilingual.
How is my visitor's language determined?
On CrowdRiff-hosted pages (share links, Media Hub, Collector links, and Connect Portal), visitors see an English/French language toggle.
On embeds (Galleries, Maps, Itineraries, single asset embeds, and Collectors), you choose the language option when you copy the embed code:
Auto-detect (default): The embed finds the best language match when the page loads. It checks, in order:
Your website language (Galleries, Maps, and single asset embeds only) – Matches the language your page is set up in, based on the page's language tag.
The visitor's browser language – Matches the language set in the visitor's browser.
English – Used if neither of the above applies.
A specific language: The embed always shows the language you choose to every visitor.
How do I make my own content bilingual?
CrowdRiff does not translate content you write. It displays exactly what you entered, in the language you entered it. To give visitors a fully bilingual experience, add both languages in the same field. A common approach is to write the text in one language, followed by the other.
This applies to:
Asset metadata, such as descriptions and keywords
Folder and album names
Media Hub customization settings, such as title, about, and contact information
Terms and conditions for Media Hub, share links, and Collectors
UGC captions, such as those from Instagram, stay in the language the creator originally wrote them in.
❗ Heads up:
Search: Standard mode and Media Hub search results are driven by the metadata on your assets, so adding French metadata means your visitors can search in French. AI-powered search supports French natively.
Galleries: You set the language for each CTA individually.
Maps: Headings for each place detail are translated. The information itself, such as addresses and website links, comes from Google and displays in the language Google provides.
Itineraries: You can share an Itinerary as a CrowdRiff page with an English/French toggle, or as an embed. Stop and pin descriptions display exactly as you wrote them.
Collectors: You can share a Collector as a link or embed it as a form. When auto-detect is selected, visitors also see an English/French toggle.
Media Hub: Visitors' language choice is remembered on return visits. Sign-up and approval emails are sent in both English and French in a single email. Media Hub settings pages stay in English.
Rights requests: When you generate a rights request comment, you can choose the language and write separate English and French versions of your message.
How do I control what happens to expired assets?
Stay protected when usage rights lapse, and decide how much notice you need to renew them. Go to Settings > Expired assets to manage how CrowdRiff handles assets with expired rights. From here you can:
Set your Expiring soon window, which controls how much notice you get before a license expires.
Choose whether expired assets stay visible on each public-facing surface, such as Media Hub, galleries, embeds, maps, and share links.
See How do I manage expiring and expired assets? for more information.

How do I set up rights request settings for my social accounts?
Rights request settings let you control how CrowdRiff writes your rights request comments and what counts as an approval. You set your rules once, and every request and approval check follows them. This keeps your outreach on-brand and consistent across your team, and saves you from rewriting the same legal wording every time.
Each connected social account has its own set of controls. These settings apply when you request rights from CrowdRiff. Support for the Saved URLs Chrome extension is coming soon.
You can configure three things:
AI in your brand voice: Generate request comments that match your brand's tone. Add your own usage intent descriptions and writing samples to shape the output.
Required phrases: Add your legal terms or approval instructions. CrowdRiff includes them at the end of every request comment, exactly as written.
Approval rules: Choose how a content owner's reply counts as an approval:
Affirmative response: Any reply that clearly says yes.
Specific phrase: Specific words the content owner must include in their reply.
❗ Heads up: If you ask creators to reply with a specific word or phrase, set up both settings so they match:
If a required phrase tells creators to reply with a specific phrase, add that same phrase as an approval rule under Specific phrase.
If you add an approval rule under Specific phrase, include that phrase in your required phrases. The generated comment then tells the creator exactly which words to reply with.
CrowdRiff shows a warning on the text boxes if it detects one without the other.
Can I use rights request settings in other languages?
Yes. You can configure your brand voice and required phrases for each language. When you request rights, you choose which language CrowdRiff generates the comment in.
Approval detection isn't limited to one language. CrowdRiff recognizes an affirmative response from a content owner in any language, even if it differs from the language of your request.
